Terms of Service

1. Introduction & Acceptance

Welcome to PrePA Navigator. These Terms of Service ("Terms") govern your access to and use of the PrePA Navigator website and services (collectively, the "Service") operated by PrePA Navigator LLC ("we," "our," or "us"). PrePA Navigator LLC is a limited liability company organized under the laws of the State of Utah.

By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you may not use the Service.

We may update these Terms from time to time. If we make material changes, we will notify you by updating the "Effective" date and, for significant changes, by email. Your continued use of the Service after changes take effect constitutes your acceptance of the revised Terms.

2. Service Description

PrePA Navigator provides tools to help PA school applicants:

Search and compare PA programs
Track application status and deadlines
Manage supplemental essays and drafts
Track prerequisites and experiences
Organize letters of recommendation
Export deadlines to external calendars via ICS feeds
Receive AI-powered suggestions for essays (paid feature)

What PrePA Navigator Does NOT Do

We are not CASPA. PrePA Navigator is an independent organizational tool. We do not submit applications to PA programs on your behalf, nor do we integrate directly with CASPA.
We make no guarantees. Using PrePA Navigator does not guarantee admission to any PA program. Admission decisions are made solely by PA programs.
We do not provide professional advice. The Service is for organizational purposes only and does not constitute academic, career, or legal advice.

3. Account Registration

Eligibility

To use the Service, you must be at least 18 years old or the age of majority in your jurisdiction, whichever is greater. By creating an account, you represent that you meet this requirement.

Account Security

You are responsible for maintaining the security of your account. We authenticate users via email-based one-time passwords (OTP). You agree to:

Provide accurate and complete information
Keep your email address current
Notify us immediately of any unauthorized access to your account
Not share your account or authentication codes with others

4. Subscription & Billing

Free and Paid Features

PrePA Navigator offers both free and paid features. Free features include basic program search and limited tracking capabilities. Paid features (available with a subscription) include unlimited program saves, AI essay suggestions, and advanced tracking tools.

Pricing

The paid subscription is available at $19 per month (Monthly plan) or $59 for a one-time Cycle Pass. Current pricing is always displayed on our upgrade page before purchase.

Monthly Subscription & Auto-Renewal

The Monthly plan renews automatically each month until you cancel. By subscribing, you authorize us to charge your payment method on a recurring basis. We will not increase your price during an active billing period; price changes take effect only at the start of your next billing period after we give you advance notice.

Cycle Pass

The Cycle Pass is a one-time, non-renewing purchase that grants access for the duration stated at checkout. It does not auto-renew unless explicitly indicated during the checkout process.

Cancellation

You may cancel your Monthly subscription at any time from your billing settings or by emailing support@prepanavigator.com. Cancellation takes effect at the end of your current paid period — you retain access until then, but no further charges are made.

Payment Processing

Payments are processed securely through Stripe. By subscribing, you agree to Stripe's Terms of Service. We do not store your full payment card information.

Refund Policy

Due to the nature of our digital service, all sales are final except where: (a) required by applicable law; (b) we terminate your account without cause; or (c) we discontinue the Service. If you believe you are entitled to a refund, contact support@prepanavigator.com.

5. Acceptable Use

You agree to use the Service only for lawful purposes. You may NOT:

Use the Service to harass, abuse, or harm others
Attempt to gain unauthorized access to the Service or its systems
Use automated means (bots, scrapers) to access the Service without our permission
Interfere with or disrupt the Service or its infrastructure
Upload malicious content or content that infringes others' intellectual property
Impersonate another person or misrepresent your affiliation
Use the Service to generate false, misleading, plagiarized, or dishonest application materials
Use the Service in any way that violates applicable laws or regulations

We reserve the right to suspend or terminate accounts that violate these terms.

6. User Content

Ownership

You retain ownership of all content you create and upload to the Service, including essays, notes, and documents ("User Content"). PrePA Navigator does not claim any ownership rights over your User Content.

License to PrePA Navigator

By uploading User Content, you grant PrePA Navigator a limited, non-exclusive, royalty-free license to use, store, display, and process your User Content solely for the purpose of providing the Service to you. This includes:

Storing your essays and notes in our database
Sending your content to third-party AI service providers when you use AI features (see Section 10 for current providers)
Displaying your content back to you within the Service

This license terminates when you delete your content or account, except where we are required to retain copies for legal purposes.

Content Responsibility

You are solely responsible for your User Content. You represent that you have all necessary rights to upload and share your content and that it does not violate any third party's rights.

7. AI-Generated Content & Academic Integrity

Limitations of AI Output

AI-generated outputs may be inaccurate, incomplete, biased, or unoriginal. AI suggestions provided by the Service are starting points, not finished work. They should not be treated as a substitute for your own writing, research, or judgment.

Your Responsibility

You must review, edit, and verify all AI-generated content before use. You are solely responsible for the factual accuracy, originality, and quality of any materials you submit to PA programs or other institutions.

Prohibited Uses

You may not use the Service to generate false, misleading, or plagiarized application materials. You are responsible for complying with all applicable program rules, honor codes, and academic integrity policies. The Service is intended to assist your writing process, not to replace it.

AI Provider Data Practices

We use commercial API tiers from OpenAI and Anthropic to power AI features. Under their commercial API terms, your inputs and outputs are not used to train their models by default. For more details, see OpenAI's Privacy Policy and Anthropic's Privacy Policy.

8. Data Accuracy Disclaimer

Program data displayed in PrePA Navigator is provided for informational purposes only and may contain errors or be out of date.

While we strive to maintain accurate information about PA programs, deadlines, and requirements:

Program information changes frequently and without notice
Our data may not reflect the most current program requirements
We cannot guarantee the accuracy, completeness, or timeliness of any program data

You must always verify program requirements, deadlines, and other critical information directly with official program sources (program websites, CASPA, etc.) before making application decisions.

If you notice inaccurate data, please report it using our discrepancy reporting feature. We appreciate community contributions to data accuracy.

9. Intellectual Property

The Service, including its design, features, code, and content (excluding User Content), is owned by PrePA Navigator LLC and protected by copyright, trademark, and other intellectual property laws.

You may not copy, modify, distribute, sell, or lease any part of the Service without our written permission.

10. Third-Party Services

The Service integrates with and relies on third-party services, including:

OpenAI: Provides AI capabilities for chat and essay suggestions
Anthropic: Provides AI capabilities for document extraction and analysis
Stripe: Processes payments
External calendar services: We generate ICS calendar feeds that you can subscribe to in any calendar application (Google Calendar, Apple Calendar, Outlook, etc.). We do not use Google Calendar OAuth or access your calendar data directly.

Your use of these third-party services is subject to their respective terms and privacy policies. We are not responsible for the availability, accuracy, or actions of third-party services.

11. Community Features

Community Forum

We provide a community forum powered by Discourse where users can discuss PA programs and the application process. Your forum profile information and posts are visible to other forum members and may be publicly searchable by search engines.

Discord Community

We offer an optional Discord community server. If you choose to connect your Discord account, we use OAuth to verify your identity and manage community access. Paid subscribers may receive additional roles or access within the server.

Your Responsibilities

You are responsible for the content you post in community spaces. Do not share sensitive personal information (such as Social Security numbers or full financial details) in community forums or chat channels. Our community guidelines apply in addition to these Terms.

12. Referral Program

PrePA Navigator may offer a referral program that allows you to earn account credit by referring new users to the Service. If a referral program is available, the following terms apply:

Referrals must result in a qualifying paid purchase and meet minimum tenure requirements before credit is awarded
Self-referrals are prohibited. You may not create multiple accounts to earn referral rewards.
Referral credits may be reversed if the referred user receives a refund, initiates a chargeback, or is found to be fraudulent
Automated, bulk, or deceptive referral methods are prohibited
Referral credits have no cash value and may only be applied toward Service purchases
We reserve the right to modify, suspend, or terminate the referral program at any time without prior notice

13. Email Communications

By creating an account, you agree to receive the following types of email communications:

Transactional emails: Verification codes, account notifications, and security alerts. These are necessary for the operation of your account and cannot be opted out of.
Service communications: Digest emails and feature updates related to your use of the Service. You can manage these in your account settings.

14. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED.

To the fullest extent permitted by law, we disclaim all warranties, including but not limited to:

Warranties of merchantability, fitness for a particular purpose, and non-infringement
Warranties that the Service will be uninterrupted, error-free, or secure
Warranties regarding the accuracy of program data
Warranties that the Service will meet your specific requirements

15. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PREPA NAVIGATOR LLC AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES.

This includes, but is not limited to, damages for:

Loss of data or content
Missed deadlines or application errors
Reliance on inaccurate program information
Denial of admission to any PA program
Service interruptions or unavailability

In no event shall our total liability exceed the amount you paid to PrePA Navigator in the 12 months preceding the claim, or $59, whichever is greater.

16. Termination

By You

You may stop using the Service at any time. You may delete your account through your account settings or by contacting us at support@prepanavigator.com. If you have an active Monthly subscription, please cancel it before deleting your account to avoid further charges.

By Us

We may suspend or terminate your access to the Service at any time, with or without cause, and with or without notice. Reasons for termination may include, but are not limited to:

Violation of these Terms
Fraudulent or illegal activity
Extended periods of inactivity
Our decision to discontinue the Service

Effect of Termination

Upon termination, your right to use the Service ceases immediately. We may delete your data in accordance with our Privacy Policy. Sections of these Terms that by their nature should survive (including limitations of liability, disclaimers, and intellectual property provisions) shall survive termination.

17. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Utah, United States, without regard to its conflict of law provisions.

Any disputes arising from these Terms or the Service shall be resolved in the state or federal courts located in Utah, and you consent to the personal jurisdiction of such courts.

18. Changes to Terms

We reserve the right to modify these Terms at any time. We will provide notice of material changes by updating the "Effective" date at the top of this page and, where appropriate, by sending you an email notification.

Your continued use of the Service after changes take effect constitutes your acceptance of the revised Terms. If you do not agree to the new Terms, you must stop using the Service.
